Terms & Conditions
Booking Terms & Conditions
Welcome to Traverse Yatra. By making an enquiry, accepting a quotation, paying an advance, or confirming a booking with Traverse Yatra, the customer agrees to the following Booking Terms & Conditions.
Please read these terms carefully before making any payment.
1. Booking Confirmation
A booking will be considered confirmed only after:
The required booking amount/advance has been received by Traverse Yatra.
The customer has accepted the proposed itinerary and package details.
Confirmation has been provided by Traverse Yatra through an appropriate communication channel.
A quotation or itinerary shared before payment does not guarantee availability of hotels, vehicles, permits, tickets, or other travel services.
2. Advance Payment
An advance payment is required to confirm the booking and secure the required travel services.
The advance amount may vary depending on the package, hotel, transportation, travel dates, destination, and supplier policies.
Once the advance has been paid, Traverse Yatra may proceed with hotel reservations, vehicle arrangements, permits, tickets, and other services on behalf of the customer.
3. Balance Payment
The remaining balance must be paid according to the payment schedule communicated at the time of booking.
Unless otherwise specified in writing, the complete balance should be cleared before or at the beginning of the tour as instructed by Traverse Yatra.
Failure to make the required payment within the agreed timeline may result in cancellation or modification of services, and applicable cancellation charges may be deducted.
4. Package Inclusions & Exclusions
Customers are requested to carefully check the inclusions and exclusions mentioned in their quotation or final itinerary.
Only services specifically mentioned as included in the confirmed package will be provided as part of the package.
Any additional expenses, optional sightseeing, entry fees, permits, activities, meals, room upgrades, transportation, or services not mentioned in the package will be payable separately by the customer.
5. Hotel Booking & Room Allocation
Hotels are booked according to the category and plan mentioned in the confirmed itinerary.
Hotel names may be subject to availability. If the mentioned hotel is unavailable at the time of confirmation, Traverse Yatra may provide a hotel of a similar category, subject to availability and applicable pricing.
Room allocation, floor, view, bed type, adjoining rooms, early check-in, late check-out, and specific room requests are subject to hotel availability and cannot always be guaranteed.
Standard hotel check-in and check-out timings will apply unless specifically confirmed otherwise.
6. Transportation
Vehicles will be provided according to the vehicle type and itinerary mentioned in the confirmed booking.
The vehicle is generally provided for the agreed itinerary and sightseeing mentioned in the package. Any additional usage, route deviation, extra sightseeing, waiting time, or additional transfer may attract additional charges.
Vehicle availability, route restrictions, road conditions, weather, government regulations, and local transportation rules may affect the operation of the vehicle.
In certain destinations, particularly hilly and restricted areas, specific vehicle types may be required according to local regulations.
7. Sightseeing & Itinerary Changes
The itinerary provided by Traverse Yatra is planned according to normal operating conditions.
The sequence of sightseeing may be changed due to:
Weather conditions
Road conditions
Traffic
Government regulations
Local restrictions
Permit availability
Operational requirements
Natural events
Safety considerations
Such changes do not automatically qualify the customer for a refund if the overall service remains operational.
8. Permits & Restricted Areas
Certain destinations and sightseeing points, including restricted areas of Sikkim and other regions, may require government permits.
Permits are subject to government rules, availability, weather conditions, road conditions, document verification, and local authorities.
Traverse Yatra will assist with the applicable permit process wherever included in the package. However, the final decision regarding permit issuance, entry, opening, or closure rests with the concerned government or local authority.
Customers must provide valid and acceptable identity documents within the required time.
9. Zero Point / Restricted Sightseeing
For destinations such as Zero Point, Nathula Pass, Gurudongmar Lake, and other restricted or weather-sensitive locations, access may depend on government permissions, road conditions, weather, security restrictions, and local authorities.
Where permits or charges are required in advance, the amount may become non-refundable if the government or local authority subsequently closes the route or sightseeing point.
Where applicable, Traverse Yatra may follow the prevailing local permit procedure and make the permit only when operational status is confirmed, wherever such arrangements are permitted.
Any refund will be subject to the actual refund received from the concerned authority, supplier, or service provider.
10. Cancellation by Customer
Cancellation requests must be communicated to Traverse Yatra in writing.
Cancellation charges depend on:
Number of days remaining before travel
Hotel cancellation policy
Vehicle cancellation policy
Permit and ticket cancellation rules
Supplier policies
Peak-season conditions
Special booking conditions
Any applicable refund will be processed after deducting non-refundable amounts and cancellation charges imposed by hotels, transport providers, government authorities, suppliers, or other service providers.
Some bookings may be completely non-refundable once confirmed.
11. Cancellation by Traverse Yatra / Service Providers
In exceptional circumstances, a service may need to be cancelled, changed, or modified due to reasons beyond the control of Traverse Yatra, including government restrictions, natural disasters, severe weather, road closures, strikes, civil disturbances, or other force majeure events.
Traverse Yatra will make reasonable efforts to provide an alternative arrangement where possible.
Any refund will be subject to the amount actually recoverable from the relevant service provider after applicable deductions.
12. Refund Policy
Approved refunds will normally be processed after receiving confirmation from the relevant hotel, transport provider, supplier, ticketing agency, or government authority.
Refund timelines may vary depending on the payment method and service provider.
Non-refundable booking components, payment gateway charges, banking charges, cancellation fees, permit fees, ticketing charges, and supplier deductions may not be refundable.
13. Changes Requested by Customer
Any changes requested after confirmation—such as change of hotel, travel dates, vehicle, sightseeing, number of passengers, room category, or itinerary—will be subject to availability and additional charges, if applicable.
Any difference in price resulting from a change will be payable by the customer.
14. Customer Responsibility
Customers are responsible for:
Providing correct passenger information.
Providing valid identity documents.
Checking the itinerary before confirmation.
Reaching pickup points on time.
Following local laws and regulations.
Following hotel, vehicle, permit, and destination rules.
Taking care of personal belongings.
Paying for personal expenses and services not included in the package.
Traverse Yatra shall not be responsible for losses resulting from incorrect information provided by the customer.
15. Travel Documents
Customers must carry valid identity documents and any other documents required for the journey.
For restricted destinations, the documents must meet the requirements of the relevant government authorities.
Failure to carry valid documents may result in denial of entry or services, for which Traverse Yatra will not be responsible.
16. Personal Belongings
Customers are responsible for their personal belongings, valuables, cash, mobile phones, cameras, luggage, and travel documents.
Traverse Yatra, hotels, drivers, and service providers will not be responsible for loss, theft, or damage to personal belongings unless liability is established under applicable law.
17. Delays & Missed Services
Traverse Yatra will not be responsible for losses arising from delays or cancellations caused by airlines, railways, traffic, weather, road closures, government restrictions, strikes, or other circumstances beyond our reasonable control.
If a customer misses a scheduled service due to personal delay or failure to arrive at the designated pickup point on time, additional charges may apply for arranging an alternative service.
18. Food & Meal Services
Meals will be provided according to the meal plan specifically mentioned in the confirmed package.
Special dietary requirements, room service, additional meals, beverages, and personal food preferences may involve additional charges and should be communicated in advance.
19. Child & Extra Bed Policy
Child policies, extra beds, mattresses, breakfast charges, and room occupancy rules vary by hotel.
The applicable policy of the confirmed hotel will apply.
20. Seasonal & Peak-Period Bookings
During peak seasons, holidays, festivals, weekends, and special events, hotel and transportation rates may be higher and availability may be limited.
Special booking conditions and stricter cancellation policies may apply to such bookings.
21. Force Majeure
Traverse Yatra shall not be held responsible for failure or delay in providing services caused by circumstances beyond reasonable control, including but not limited to:
Natural disasters
Heavy snowfall
Landslides
Floods
Earthquakes
Severe weather
Road closures
Government restrictions
Permit restrictions
Strikes
Civil unrest
War or security situations
Pandemics or public-health restrictions
Other unforeseen circumstances
In such situations, Traverse Yatra will make reasonable efforts to assist customers with alternative arrangements wherever possible.
22. Pricing
Package prices are based on the rates available at the time of quotation and may be subject to change before confirmation.
Once a booking is confirmed and the agreed amount has been received, the confirmed package price will generally apply, except where additional costs arise due to customer-requested changes, government taxes/charges, permit changes, additional services, or circumstances specifically mentioned in the booking confirmation.
23. Communication
Customers are requested to carefully review all information shared through email, WhatsApp, quotation documents, invoices, and booking confirmations.
The latest confirmed itinerary or booking confirmation shared by Traverse Yatra will be considered the applicable travel plan.
24. Photography & Marketing
Where applicable, Traverse Yatra may request permission from customers to use photographs, testimonials, or feedback for promotional purposes.
Customer images or testimonials will not be used for marketing without appropriate permission.
25. Dispute Resolution
Any concerns regarding a booking should first be communicated to Traverse Yatra so that the matter can be reviewed and resolved amicably.
Where a dispute cannot be resolved through mutual discussion, the matter shall be subject to applicable laws and jurisdiction as agreed in the booking documentation.
26. Acceptance of Terms
By making a payment or confirming a booking with Traverse Yatra, the customer confirms that they have read, understood, and accepted these Booking Terms & Conditions.
